Integration with DMS, ERP, CRM, BPM and other applications
When working with applications, users create content. They capture the initial content into the appropriate entries in the applications. The content can be opened and viewed in electronic form directly from the applications. Often is stored in the internal application databases, repositories or even file systems.
By accessing the application, users can often access a wider range of content. Users can also view, change and print classified records. Deleting of records and content is not limited to a narrow circle of users. Traceability of events and therefore the proof of changes are insufficient or have not been carried out at all. There is a high risk of an unauthorised disclosure of content and leaks of classified information.
These problems can be resolved by integrating DMS, ERP, CRM, BPM and other applications with the digital archive. Application developers can access examples that show how to perform operations over the digital archive. Operations such as: opening the archive, retrieving public information about root classes, entities and subentities, creating, opening, moving and deleting entities, reading and changing entity information, storing content, sending information for audit trail, searching through archive etc. They can be easily included in the code of .NET and Java applications.
The records are transparently arranged in the classification scheme and are stored in the digital archive, separately from the applications. This enables better access control. Security class of records, user security class level and user rights for accessing the records and associated metadata are verified. All events, accesses and changes of archive settings are recorded in the audit trail.
Authenticity and integrity of records is ensured for the entire duration of their storage.
Authenticity and integrity of records is ensured for the entire duration of their storage.
Due to integration, there is a need for migration of records and metadata from the existing archives and databases into a new digital archive. Migration is carried out using special tools in order to place the records and metadata on the required location in the classification scheme of the digital archive and to connect them with the appropriate application entries.
